The Office of Registration & Academic Advising serves as the legal custodian of College academic records and is responsible for the appropriate recording, production, and disbursement of those records.
The Office is also responsible for recording such critical functions as academic honors, sanctions, and dismissals. The Office of Registration & Academic Advising is located in the Administrative wing on the second floor.
Confidentiality Policy
The College complies totally with the Family Educational Rights and Privacy Act (FERPA).
Permanent Academic Record
The permanent academic record, including transfer credit evaluation, is maintained by the Office of Registration & Academic Advising for all students of the College. While grades may be reported unofficially to the student, academic dean, and advisor, the only true and valid documentation of academic work and student status is an official transcript of the academic record, stamped with the Registrar's signature and embossed with the seal of the College. The transcript is available only with the signature of the student and will be released to that student or a designee provided there are no outstanding charges against his or her account with the Business Office and Library.
Academic Record Changes
Considerable care is taken to ensure that course registration and grades entered on a student's permanent record are accurate. Any student who suspects an error has been made should contact the Office of Registration & Academic Advising immediately. Records are assumed to be correct if a student does not report to the Office of Registration & Academic Advising within one year of the completion of the course. At that time, the record becomes permanent and cannot be changed.
Transcript Policy

The Office of Registration & Academic Advising is pleased to offer our students and alumni copies of official transcripts regarding their accomplishments here at Maine College of Art & Design. Each student pays a one-time transcript fee upon initial enrollment and no per-transcript fee is charged for hard copy transcripts. Official Electronic Transcripts carry a small fee assessed by the transcript issuing service. Transcripts are official documents of the college and as such various offices on campus must approve them before they can be released. We acknowledge that transcript requests are often an important and time-sensitive inquiry and so we strive to turn them around in 7 business days or less
NOTE: The College will not issue an official transcript if a student owes a past-due balance on a student account or has defaulted on repayment of student loans. Questions about holds should be addressed to Student Accounts at 207.699.5049 and/or the Registrar.
PAYMENT NEGLIGENCE:
No student may attend classes until all financial obligations to Maine College of Art & Design are fulfilled. Diplomas and transcripts will not be released to students owing balances greater than $2,500 except as noted under Maine law. Transcripts will be released for scholarship applications and sent directly to the scholarship organization to enable students to fulfill their financial obligations to the College. Access to email may be interrupted during a period of non-payment.
